How to Handle Rehires using the Same Employee Profile (Reactivating)
When rehiring an employee, it's important to understand how TeamOhana interprets reactivation of the same employee profile versus creating a new profile. Below are the guidelines for managing rehires effectively.
Rehiring Using the Same Employee Profile (Reactivating)
When reactivating an existing employee profile for a rehire, it is recommended to go through the Internal Transfer workflow in TeamOhana because the system retains the Original Hire Date while also recording a New Job Effective Date.
Key Dates Example:
Original Hire/Start Date: January 08, 2024
Termination Date: September 06, 2024
Rehire Job Effective Date: August 25, 2025
The employee would not appear in reports for the period between September 06, 2024 and August 25, 2025, as their profile reflects a termination during this time
Rehiring Using a New Employee Profile
Making the headcount appear as a Net New Hire in TeamOhana could lead to challenges in maintaining a continuous employment history.
TeamOhana still records the original Hire Date from your HRIS
The system won't be able to pull the new Job Effective Date
Going through Internal Transfer workflow is the recommended practice because it tells the system to look at the new Job Effective Date instead of the original Hire Date
Current Limitations
For rehires using the same profile, the system currently requires manual verification to ensure the correct employee is linked with the pending offer or hired headcount. This step is essential as the system recognizes the employee as "claimed", even during their termination period.
